How Maextro’s PriceFX Integration Cut RS Group’s Launch Times from Weeks to Near Real-time

RS Group manages sale pricing across roughly 1.6 million products through PriceFX, a solution that has sat within the business for a number of years. Before Maextro, getting a new product priced and ready for launch was a manual job that could take product managers between seven and ten days. Business Challenge: Pricing That Could Not Keep Pace

PriceFX handles RS Group’s sale pricing across its full product range. Working from the cost price, it applies a pricing strategy to each article and generates the associated price breaks. Buy one of an article and the price might be ten dollars. Buy fifty and the price might drop to nine dollars seventy, and so on down the scale.

The pricing logic goes further than simple volume breaks. Many articles are linked to one another through down pack sizes, and the pricing structure has to make sense across that whole family of related products. Buying a minimum pack quantity should earn a price break, but moving between pack sizes has to remain logical throughout. PriceFX also looks across RS Group’s internal product hierarchy, considering where an article sits alongside related products and brands, whether premium or private label, to keep pricing sensible relative to its neighbours.

Before Maextro, none of this was connected automatically. Product managers worked through a manual workflow that included assigning pricing themselves, on top of other tasks such as defining down packs. For articles with a one-to-many relationship, that could mean five or more price breaks to work through by hand. It was slow, and the results were often reworked or discarded entirely once measured against the pricing strategy already defined in PriceFX. On average, this manual process took between seven and ten days per launch: time spent sending the task out, finding capacity to complete it, carrying out the work, and returning it to the system.

 

The Solution: An Automated Integration Between Maextro and PriceFX

Maextro was introduced to close this gap, and it does so through a set of AI agents that sit at the heart of the integration, handling the connectivity and processing between the two systems end to end. These agents package up cost prices and associated definition data, including which node an article sits in and what it is associated with, and send it from Maextro out to PriceFX. PriceFX applies its pricing logic and returns the sale pricing, which the agents pick up from a staging table and process into the relevant set tables within Maextro, without anyone needing to move it by hand.

The integration also carries Maextro’s exception handling into the pricing process. Where a record has an issue, the responsible agent flags and isolates it for review rather than stalling the entire batch. Valid records continue to move forward, keeping momentum high without sacrificing accuracy.

The best part is that what was a manual, sequential task, dependent on an individual product manager’s time and attention, is now a process that returns pricing in near real-time rather than one to two weeks.

Launch pricing that previously took between seven and ten days on average is now returned in near real-time. That alone is a dramatic compression of the launch cycle, but the real value sits in what that speed unlocks. RS Group can now react to a cost price change, a supplier update, or a shift in the competitive landscape the moment it happens, rather than waiting a week or more for pricing to catch up. New lines can be brought to market and repriced in step with supplier movements and market conditions, instead of being anchored to whatever the market looked like when the pricing request was first submitted. That agility is a competitive edge in its own right: products reach the market priced correctly and competitively from day one, rather than launching provisionally and being corrected later, by which point a rival may already have won the sale. Speed, in other words, is no longer just an efficiency gain for RS Group – it is a lever the business can pull to protect and grow its position in the market.

Category managers freed for higher value work

Pricing was never where RS Group’s category managers added the most value, and that task no longer sits on their desks. No roles have been reduced as a result – this has been an additive change, not a cost-cutting one. What used to consume hours chasing price breaks and pack sizes now runs between Maextro and PriceFX, freeing category managers to focus on the commercial side of their broad remit: launching more products, generating revenue, developing pricing strategy, running marketing activity, and managing supplier and customer relationships. Their time is increasingly spent growing the business rather than administering it.

Supporting a substantial rise in launch volume

RS Group’s monthly new article volume has grown from around 15,000 to around 60,000. This was not driven by the PriceFX integration alone; Maextro’s AI agents handling article set-up at volume worked alongside automated pricing to make that fourfold increase achievable. Category teams would not have been able to sustain this volume if pricing still depended on manual work.

That fourfold increase in launch volume is not just an operational statistic – it is a direct driver of commercial growth. Every additional product RS Group can bring to market each month is a chance to win new customers, capture more share of wallet from existing ones, and stay ahead of competitors still working through slower launch processes. RS Group has not quantified the commercial value of getting pricing right the first time, but the qualitative benefit is clear. Previously, the gap between an initial manual price and a corrected price aligned to PriceFX’s strategy could stretch to several months, during which pricing might sit less competitively or less aligned to the wider strategy than intended.
